# Pipedrive Voice Bot: Auto-Call New Leads with AI (2026)

> Connect a voice bot to Pipedrive so every new deal gets an AI call within a minute and the outcome lands back in Pipedrive. Step-by-step, with costs for solo founders.

You connect a voice bot to Pipedrive in three pieces: **a Pipedrive trigger** when a new deal or
person is added, **an automation tool** (n8n, Make or Zapier) that passes the lead to the voice
agent's API, and **a callback** that writes the call outcome back to Pipedrive as a note, activity or
stage change. For a solo entrepreneur, that means every new lead gets a friendly qualifying call
within a minute, even while you are in a meeting, for a few rupees per call.

This guide shows the exact setup, what the bot should say, what it costs, and one honest note about
native integrations.

## Why call new Pipedrive leads automatically?

Leads cool down fast. Someone who filled in your form five minutes ago remembers you and picks up;
the same person tomorrow is comparing three competitors. Solo founders and small sales teams lose
most leads not because they are bad at selling but because they cannot call everyone quickly.

A voice bot fixes the speed problem. It calls every new lead immediately, qualifies them with the
same questions every time, books the meeting, and leaves you a clean note in Pipedrive, so your own
time goes to the conversations most likely to close. Our guide to
[calling new leads in under a minute](https://edesy.in/blog/speed-to-lead-ai-callback-new-leads-2026) covers the
wider speed-to-lead playbook.

## Is there a native Pipedrive integration?

Be clear on this before you build. Edesy's built-in CRM tools, which let an agent look up and update
contacts and deals *during* a live call, currently cover **HubSpot, Salesforce, Zoho and
GoHighLevel**. **Pipedrive connects through its webhooks and an automation tool** plus Edesy's Calls
API. That route is not a workaround so much as the most flexible option: you decide exactly which
deals trigger a call and exactly what gets written back.

On HubSpot instead? See [how a voice bot logs call outcomes and updates HubSpot lead status](https://edesy.in/ai-voice-assistant/blog/voice-bot-hubspot-call-outcomes-lead-status),
including the outcome-to-Lead-Status mapping and a ready webhook handler.

## Step-by-step: connect a voice bot to Pipedrive

### Step 1: Build the agent

Create a qualification agent in Edesy. Write the script with variables for the details you will pass
from Pipedrive, such as `{{name}}`, `{{deal_title}}` and `{{source}}`, and add a short knowledge base
with your pricing, service areas and FAQs. Give it the actions it needs: book a meeting, schedule a
callback, and transfer the call to your phone for hot leads.

### Step 2: Get your API key and agent ID

In the Edesy dashboard, create an API key under **Settings > API Keys** (it starts with `vp_live_`)
and copy the agent's ID from the **Agents** page.

### Step 3: Trigger on new deals

Pick one of two triggers:

- **Automation tool trigger (any Pipedrive plan).** In n8n, Make or Zapier, use Pipedrive's "new
  deal" or "new person" trigger.
- **Pipedrive Automations (Advanced plan and above).** Create an automation on *deal created* with a
  webhook action pointing to your n8n or Make webhook. Per Pipedrive's help centre, webhook actions
  are available on Advanced and higher plans, must be created by a global admin, and the endpoint URL
  must end in `/`, `&`, `?` or `=`
  ([Pipedrive help](https://support.pipedrive.com/en/article/automations-webhook-requests)).

Add a filter so only the right deals trigger calls, for example only deals from your website form or
only a specific pipeline.

### Step 4: Start the call

In the same workflow, add an HTTP request to Edesy's Calls API:

```text
POST https://voice-agent.edesy.in/api/v1/calls
Authorization: Bearer vp_live_xxxxxxxx
Content-Type: application/json
{
  "agentId": 123,
  "phoneNumber": "<person phone from Pipedrive>",
  "variables": {
    "name": "<person name>",
    "deal_title": "<deal title>",
    "source": "<lead source>"
  },
  "metadata": { "pipedrive_deal_id": "<deal id>" },
  "callbackUrl": "https://your-workflow.example.com/webhook/call-finished"
}
```

The `metadata` travels with the call, so when results come back you know exactly which deal to
update. The full field reference is in the [trigger-call API docs](https://edesy.in/docs/voice-agent/api/trigger-call).

### Step 5: Write the outcome back to Pipedrive

Point `callbackUrl` at a second workflow. When the call finishes, that workflow receives the call
events with your metadata attached. Use Pipedrive actions to add a **note** with the outcome and
summary, create a follow-up **activity** (for example "Meeting booked Tuesday 11:00"), and move the
deal to the next **stage** if the lead qualified.

### Step 6: Test with your own number

Create a test deal with your own phone number, let the bot call you, and check that the note and
activity appear on the deal. Then switch it on for real leads.

If you have built this pattern before with HubSpot or Google Sheets, it is the same shape: see
[triggering AI calls from HubSpot with n8n](https://edesy.in/blog/trigger-ai-voice-calls-from-hubspot-n8n-2026) and
[from Google Sheets with n8n](https://edesy.in/blog/trigger-ai-voice-calls-from-google-sheets-n8n-2026).

## What should the voice bot say?

Keep the first call short and useful. A structure that works:

1. **Greet by name and give context:** "Hi Arjun, this is the assistant from BrightFit. You asked
   about our corporate wellness plans a few minutes ago. Is now a good time for two quick questions?"
2. **Qualify:** team size, timeline, budget range, decision-maker.
3. **Answer the obvious questions** from the knowledge base: pricing bands, locations, how it works.
4. **Book or hand over:** book a meeting slot, schedule a callback, or transfer to you if the lead is
   hot and you are available.
5. **Confirm and close:** repeat the booked time and say what happens next.

Capture outcomes as consistent labels (*qualified, meeting booked*, *callback requested*, *not
interested*, *wrong number*) so your Pipedrive notes and pipeline reports stay clean.

## What does it cost for a solo entrepreneur?

| Item | Example |
|---|---|
| New leads per month | 100 |
| Average call length | About 2 minutes (200 minutes a month) |
| Voice agent usage | About Rs 1,000 at an assumed Rs 5 per minute |
| Monthly platform fee | None on Edesy pay-as-you-go |
| Automation tool | Free if you self-host n8n; otherwise your Make or Zapier plan |

Those numbers are assumptions; plug in your own. If you bring your own speech and LLM keys, Edesy
charges only a Rs 1.5 per minute platform fee. Compare that with the cost of one lost deal a month.

## Things to get right

- **Call only leads who asked to be contacted**, and in India follow TRAI and DND rules for
  commercial calls. Our [AI outbound calling guide](https://edesy.in/blog/ai-outbound-calling-india-guide-2026)
  explains them.
- **Respect working hours.** Queue calls outside your calling window instead of ringing at 11 pm.
- **Say it is an automated assistant**, and hand over to a person on request.
- **Store phone numbers in a consistent format** in Pipedrive, ideally with the country code.

## FAQ

### Can I connect a voice bot to Pipedrive?

Yes. The reliable pattern has three parts: a Pipedrive trigger when a deal or person is added, an
automation tool such as n8n, Make or Zapier that sends the lead to the voice agent's API, and a
callback that writes the call outcome back to Pipedrive as a note, activity or stage change.

### Is there a native Pipedrive integration for Edesy voice agents?

Edesy's built-in CRM tools, which let an agent look up and update contacts and deals during a live
call, currently cover HubSpot, Salesforce, Zoho and GoHighLevel. Pipedrive connects through its
webhooks and an automation tool plus Edesy's Calls API, which is also the most flexible route.

### Do I need Pipedrive's Advanced plan?

Only if you want Pipedrive's own Automations to fire the webhook. Pipedrive's help centre says
automation webhook actions are available on Advanced and higher plans and must be set up by a global
admin. On other plans, an automation tool such as n8n, Make or Zapier can watch Pipedrive for new
deals instead.

### How much does a Pipedrive voice bot cost for a solo entrepreneur?

Usually a few rupees per lead. For example, 100 new leads a month at about two minutes each is 200
minutes; at an assumed Rs 5 per minute that is about Rs 1,000 a month, with no monthly fee on Edesy's
pay-as-you-go. Add your automation tool, which can be free if you self-host n8n.

### What can the voice bot do on the call?

Greet the lead by name, confirm what they enquired about, ask qualifying questions such as need,
budget and timeline, answer common questions from a knowledge base, book a meeting or schedule a
callback, and transfer hot leads to you live.
