Settings Overview
The Settings section in Waflow allows you to configure your account, manage workspace preferences, and customize the platform to match your organization's needs. This guide covers all available settings and how to configure them effectively.
Accessing Settings
To access settings:
- Click the Settings icon in the bottom-left of the sidebar
- Or navigate via Profile > Settings
Settings are organized into three main categories:
- Account Settings (personal)
- Workspace Settings (team-wide)
- Organization Settings (enterprise)
Account Settings
Account settings affect your personal Waflow experience.
Profile Information
Manage your personal profile:
- Navigate to Settings > Profile
- Update your information:
- Full name
- Email address
- Profile picture
- Phone number
- Time zone
Password & Security
Secure your account:
- Go to Settings > Security
- Available options:
- Change password
- Enable two-factor authentication (2FA)
- View active sessions
- Manage connected devices
Tip: We strongly recommend enabling two-factor authentication for all accounts. It adds an extra layer of security beyond your password.
Two-Factor Authentication
Set up 2FA:
- Navigate to Settings > Security > Two-Factor Authentication
- Click Enable 2FA
- Choose your method:
- Authenticator app (recommended)
- SMS verification
- Scan the QR code with your authenticator app
- Enter the verification code
- Save your backup codes securely
Warning: Store your backup codes in a secure location. You will need them if you lose access to your authenticator app.
Notification Preferences
Control what notifications you receive:

Configure each:
- Go to Settings > Notifications
- Toggle notifications on/off by category
- Set frequency preferences
- Choose quiet hours (if applicable)
API Access
Manage your personal API tokens:
- Navigate to Settings > API Tokens
- View existing tokens
- Create new tokens with specific scopes
- Revoke tokens no longer in use
Workspace Settings
Workspace settings affect everyone in your team.
General Settings
Configure workspace basics:
- Go to Settings > Workspace > General
- Configure:
- Workspace name
- Workspace logo
- Default timezone
- Default language
- Contact information
WhatsApp Configuration
Manage your WhatsApp Business Account connection:
- Navigate to Settings > Workspace > WhatsApp
- View connected:
- WhatsApp Business Account ID
- Phone numbers
- Connection status
- Manage:
- Business profile
- Profile picture
- About text
- Business hours
Note: WhatsApp Business Account configuration changes must comply with WhatsApp's policies and may require approval.
Messaging Settings
Configure default messaging behavior:

- Navigate to Settings > Workspace > Contacts
- Configure:
- Required fields
- Default tags

User Preferences
Customize your interface experience.
Display Preferences
Personalize your dashboard:
- Go to Settings > Preferences
- Configure:
- Dark/light theme
- Sidebar layout (expanded/collapsed)
- Default landing page
- Table density (comfortable/compact)
- Date format (MM/DD/YYYY, DD/MM/YYYY)
- Number format (1,000 vs 1.000)
Dashboard Customization
Arrange your dashboard:
- Navigate to the dashboard
- Click Customize
- Drag and drop widgets
- Show/hide sections
- Save layout
Keyboard Shortcuts
View and customize keyboard shortcuts:
- Go to Settings > Preferences > Shortcuts
- View available shortcuts:
Ctrl/Cmd + N: New campaignCtrl/Cmd + K: Quick searchCtrl/Cmd + /: Open command palette?: Show all shortcuts

Team Management
Manage workspace members and permissions.
Invite Team Members
Add new members:
- Go to Settings > Team
- Click Invite Members
- Enter email addresses
- Select role:
- Admin: Full access
- Manager: Campaign and contact management
- Agent: Respond to messages only
- Viewer: Read-only access
- Send invitations

Custom Roles
Create custom roles for specific needs:
- Navigate to Settings > Team > Roles
- Click Create Role
- Name the role
- Select permissions granularly
- Save the role

Review team activity:
- Go to Settings > Team > Activity
- View:
- Login history
- Action logs
- Settings changes
- Export history
Data & Privacy
Manage data handling and privacy settings.
Data Retention
Configure how long data is kept:
- Navigate to Settings > Data > Retention
- Set retention periods:
- Message history: 30/60/90 days or indefinite
- Contact activity: Duration
- Analytics data: Duration
- Configure auto-cleanup
Export Data
Export your workspace data:
- Go to Settings > Data > Export
- Select data to export:
- Contacts
- Messages
- Campaigns
- Analytics
- Choose format (CSV, JSON)
- Request export
- Download when ready
Data Deletion
Request data deletion:
- Navigate to Settings > Data > Deletion
- Select data type
- Specify criteria (date range, contacts)
- Confirm deletion request
- Wait for processing
Warning: Data deletion is permanent and cannot be undone. Always export a backup before deleting data.
GDPR Compliance
Tools for GDPR compliance:
- Right to Access: Export contact data
- Right to Erasure: Delete contact data
- Consent Management: Track opt-in status
- Data Processing Log: View data access history
Security Settings
Workspace-level security configuration.
IP Whitelisting
Restrict access by IP:
- Go to Settings > Security > IP Whitelist
- Enable IP whitelisting
- Add allowed IP addresses/ranges
- Save configuration
Note: Be careful with IP whitelisting. If your IP changes, you may be locked out of your account.
Session Management
Control session behavior:
