Most hospitals know tomorrow's booked appointments. Far fewer know who else is coming: the referred patient, the camp attendee, the person who said "I'll come on Saturday". Those arrivals still need a doctor's time and a file at the counter. Asking one extra question on every intake call, "when will you come?", turns them into a list each department can plan around.

The question that makes planning possible
A multi-specialty hospital group in Gujarat asks every referred patient four things on its Gujarati AI intake calls: name, treatment needed, department, and when they will arrive at the hospital. After each call, a row goes to a Google Sheet. Sort that sheet by arrival and department and you have a list of who's coming today, by department. See the referral intake case study.
Capturing arrival time well
- Ask for a day and a time. "Tomorrow morning" becomes a date and a morning slot, confirmed back.
- Accept honest uncertainty. Record "not sure" rather than forcing a guess.
- Tie it to a department. An arrival without a department doesn't help anyone plan.
- Repeat it back before the call ends.
Turning calls into a daily list
| Arrival | Patient | Department | Need | Summary |
|---|---|---|---|---|
| Today, morning | (name) | Orthopaedics | Knee pain | Referred by family doctor |
| Today, afternoon | (name) | Cardiology | Check-up | Wants ECG, coming with son |
| Tomorrow, morning | (name) | Gynaecology | Consultation | Camp referral |
With a sheet like this, a coordinator can:
- Share the department's list each morning.
- Call or message the no-shows later the same day.
- Spot overloaded days and suggest another day to later callers.
Following up
- Unsure patients: a scheduled callback or a WhatsApp or SMS reminder the day before (see WhatsApp follow-ups after AI calls).
- Unanswered calls: retries within your calling window.
- Patients who didn't arrive: a short follow-up call asking if they still need care.
If you use a calendar tool the agent can book into (Google Calendar, Cal.com or GoHighLevel), it can book a slot instead of only recording an expected time.
