Search for a way to send bulk WhatsApp messages and you will find dozens of downloadable senders, browser extensions and desktop apps promising unlimited messaging to any number.
They work. For a while. Then the number gets banned, and because it is usually the business's main number, the WhatsApp history goes with it.
This post covers what actually triggers bans, and the three legitimate routes - including the free one that most small businesses should use before paying anyone.
Why the sender apps get numbers banned
Those tools automate the consumer WhatsApp app. They script the interface, or connect to WhatsApp Web and send on your behalf.
WhatsApp detects this reliably, because automated sending looks nothing like human sending. Identical message text to many recipients within seconds. No typing pauses. No pattern of receiving replies. Sending to numbers never previously contacted.
Detection is not the only problem. These are also the accounts that generate block-and-report activity, because the recipients did not ask to be messaged. WhatsApp weighs reports heavily, and a ban usually arrives with no warning and no appeal that goes anywhere.
The specific risk people underrate: it is normally your business's primary number. Losing it means losing every conversation on it, and customers who message it get nothing.
Route 1: Broadcast lists, free, in the app
If you have a few hundred customers, this is genuinely the right answer and costs nothing.
Open WhatsApp or WhatsApp Business, choose New broadcast, pick recipients, send. Each person receives it as a normal one-to-one message. They cannot see each other, and replies come back privately.
Two limits decide whether it works for you:
256 contacts per list. You can create several lists, but sending the same message across several lists in quick succession is exactly the pattern that looks automated.
Recipients must have saved your number. This is the one that surprises people. A broadcast only reaches contacts who have you saved in their phone. Not who you have saved - who has saved you. If 40 of your 200 customers have saved your number, 40 people receive it, and WhatsApp shows it as sent either way.
For a salon messaging regulars, that is fine. For a store messaging people who bought once, most will never see it.
Route 2: The WhatsApp Business API
This is the official route for messaging at scale, and it removes both limits. No 256 cap, and recipients do not need to have saved your number.
The trade-offs are real:
Every business-initiated message uses a template Meta approves in advance. You cannot type something and send it to 5,000 people. You write it, submit it, and wait - usually minutes to a few hours.
Meta charges per message, priced by category. Marketing costs the most; utility and authentication considerably less. Rates vary by recipient country.
The number leaves the WhatsApp app. A number registered to the Business API no longer receives messages in the app. If you want to keep chatting from your phone on the same number, that has to be set up as Coexistence at onboarding - it cannot be changed afterwards.
Opt-in matters. Meta expects recipients to have agreed to hear from you. Send to a scraped list and your quality rating falls, your sending limits shrink, and the number eventually gets restricted. The API does not make cold blasting acceptable - it makes permitted messaging scalable.
Route 3: Do not do it at all
Worth saying plainly, because it is often the right call.
If your list is people who bought once, never opted in, and do not have you saved, bulk WhatsApp will not work well regardless of route. Broadcast lists will not reach them. The API will reach them and generate blocks, which damages the number you depend on.
WhatsApp rewards being expected. A list of 200 customers who want to hear from you outperforms 5,000 who do not, on every measure including revenue.

That last row matters if you are planning a large first campaign. A new API number starts at 250 unique recipients per 24 hours and the tier rises as quality stays healthy. You cannot onboard on Monday and send 50,000 messages on Tuesday.
If you are going to do it
Message people who expect you. The single biggest predictor of whether this works.
Honour opt-outs immediately. Someone replies STOP, they come out of every future send. This has to be enforced when the campaign runs, not merely recorded on the contact - a surprising number of setups record it and keep sending.
Watch the quality rating. It falls before a restriction, not after. By the time messages stop delivering, the warning has been visible for days.
Send something worth receiving. Order updates, appointment reminders and delivery notifications get read and rarely reported. Generic promotions to a cold list are what generate the blocks that end the number.
Test to one number first. Confirm a message actually arrives on a handset before sending to thousands. On the API, "sent" only means Meta accepted the call - it is not proof of delivery.
