Short answer: give every admission campaign its own missed call number, print it on pamphlets, newspaper ads and results-day posters with a clear offer ("missed call for the fee structure"), and have counsellors call every lead back the same day. Leads land in a dashboard and CSV for free, or flow into LeadSquared or Edesy CRM through a webhook.

Why Missed Calls Suit Admissions
Coaching institutes, schools and colleges face a compressed season. Board results, entrance exam dates and session starts create a few weeks when most enquiries arrive. During those weeks:
- Parents read newspaper inserts and pamphlets at home, often without a laptop nearby.
- Students see posters outside schools and at bus stops.
- Many families in smaller towns prefer a phone conversation to a web form.
A missed call is the lowest-effort action available. No app, no internet, no typing, and no cost to the caller, because the call is rejected with a busy tone before it is answered. The institute gets the caller's number and the time, which is all a counsellor needs to start the conversation.
For the broader education picture, see missed call service for education and the admission enquiry use case.
Structure: Numbers per Course, Centre or Channel
Decide what you want to compare at the end of the season, then buy numbers to match. Typical patterns:
| Institute type | Number split |
|---|---|
| Single-centre coaching | One per course (JEE, NEET, foundation) |
| Multi-branch coaching | One per branch, or per branch per course for big branches |
| School | One for admissions, one for transport or fee enquiries |
| College | One per programme, plus one for the education fair stall |
| Any | One per channel (pamphlet, newspaper, poster) if you want channel attribution |
Every number has a name in the portal. That name appears in each webhook event as
phone_number_name, so the CRM can set the course or branch on the lead automatically.
What to Put on the Pamphlet
Parents respond to concrete offers. Replace "call for details" with:
- "Give a missed call for the fee structure and batch timings"
- "Missed call to book a free counselling session"
- "Missed call to register for the scholarship test"
Print the number large, and put it in every placement. The missed call poster generator can help you draft a layout.
Routing to Counsellors
Capture is easy. The work is in routing and callback discipline.
Small institute, no CRM
Keep the missed call log open on the front-desk computer. It refreshes on its own every few seconds. Download the CSV each evening and split it among counsellors. This costs only the number rental, because the log and CSV are free without a webhook. See missed call lead management for small businesses for a simple daily routine.
Edesy CRM
Edesy CRM has a free plan. Create a "Custom webhook" lead source, paste its URL into the
missed call portal, and map data.from to phone and data.phone_number_name to source once. Every
missed call becomes a lead you can assign to a counsellor and track through stages such as
"counselled", "demo class", "fee paid".
LeadSquared and other education CRMs
Many institutes already run LeadSquared or another CRM. We connect missed call leads to it for you, usually within a few days, using our signed webhook and REST API. Tell us which fields you use for course, branch and source, and the leads arrive tagged. See missed call to LeadSquared.
Callback Discipline During Peak Season
A parent who gave a missed call on Monday evening has probably also called two other institutes. The first counsellor to call back with clear answers usually wins the counselling session.
A workable routine:
| Rule | Why |
|---|---|
| First callback attempt within your working hours, same day | Intent is fresh |
| Second attempt the next morning for unanswered leads | Parents are often busy in the evening |
| Third attempt after two days, then mark cold | Avoids endless chasing |
| Log every outcome in the CRM | So counsellors do not call the same parent twice in an hour |
If evening and weekend volume is more than the team can handle, an automatic first call can be set up on request: the webhook triggers an outbound call by an AI voice agent that answers common questions and books a counselling slot. See missed call to AI voice callback. Your counsellors can also call from the outbound dialer to move through the list faster.
Repeat Callers
Anxious parents sometimes give several missed calls. Every call is logged as its own event, and the dashboard shows unique callers separately from total calls, so you can tell real demand from repeats. In the CRM, sort or filter by phone number so the same family is handled by one counsellor.
Results-Day and Scholarship-Test Spikes
Results days and scholarship test announcements can drive a burst of calls in a few hours. Each number has a limit on simultaneous calls. If you expect a large spike, for example from a front-page ad in a big edition, spread it across two or three numbers. The extra rental is small compared with the cost of the ad.
Pricing for an Admission Season
All amounts plus 18% GST:
| Item | Price |
|---|---|
| Number rental | ₹499 per month per number |
| Call log and CSV | Free |
| Webhook delivery | ₹0.30 per event delivered |
| Unlimited plan | ₹1,498 per month per number |
| 3-month prepay (rental) | ₹1,349 |
A three-month prepay usually matches an admission season well. A one-time setup fee may apply per number and is shown before you buy. KYC is required and is usually reviewed within 24 hours, so buy numbers a couple of weeks before printing. There is no free trial. Details on the pricing page.
Measuring the Season
At the end of the season, compare per number:
- Unique callers
- Counselling sessions booked (from the CRM)
- Admissions confirmed
This tells you which branch, course and channel to fund next year, and which pamphlet distribution was wasted.
A Sample Callback Script for Counsellors
Counsellors handle dozens of calls a day in peak season. A short, consistent opening saves time and makes the institute sound organised:
- "Namaste, I am calling from [institute]. You gave a missed call on our admission number. Is this a good time to talk for two minutes?"
- "Is the enquiry for yourself or for your child? Which class or exam?"
- Share the one or two facts they most likely want: batch timings, fee range, scholarship test date.
- Offer one next step: a counselling visit, a demo class or a scholarship test registration.
- Log the outcome and the next step in the CRM or CSV before dialling the next lead.
Speak in the language the parent responds in. A missed call tells you nothing about language preference, so counsellors who can switch between Hindi, English and the local language convert better. If you run numbers per centre, route each centre's leads to counsellors who speak that region's language.
Avoid reading out the full fee structure on the first call. The aim is the visit or demo class, where the real conversation happens.
