If you have ever applied for a home loan, a visa, or a rented flat in India, you have been asked for a salary certificate. It is a short, formal document — but banks and embassies are surprisingly particular about its format. Get the structure wrong and your application stalls.
This guide gives you the standard salary certificate format used in India, plus ready-to-copy samples for the three situations people need them for most: bank loans, visa applications, and rental agreements.

What is a salary certificate?
A salary certificate is an official letter from your employer that certifies your salary and employment. Unlike a monthly payslip, it is issued on request and is addressed to a specific purpose. A proper salary certificate states:
- Who you are (name, employee ID, designation, department)
- Since when you have been employed (date of joining)
- What you earn (gross salary with a component-wise breakup, and net/take-home)
- Who is certifying it (authorised signatory, on company letterhead, with seal)
Salary certificate vs salary slip vs experience letter
These three are often confused:
| Document | Issued | Purpose |
|---|---|---|
| Salary slip | Every month | Proof of one month's pay; earnings and deductions |
| Salary certificate | On request | Certifies salary and employment for a loan/visa/rent |
| Experience letter | On exit | Certifies tenure and role after you leave |
If you have left the company, you need an experience letter, not a salary certificate. If you simply want this month's pay proof, a salary slip is enough.
What a salary certificate must include
A valid salary certificate has a predictable structure. Make sure yours covers each element:
Generate one with every field pre-filled — the generator includes each item below, so nothing gets missed.
- Company letterhead — name, logo, address, and ideally GSTIN/CIN
- Date and reference number
- A clear title — "Salary Certificate" or "To Whomsoever It May Concern"
- Employee details — full name, employee ID, designation, department, date of joining
- Salary breakup — Basic, HRA, DA, allowances under earnings; PF, professional tax, TDS under deductions
- Gross salary, total deductions and net (take-home) salary, often with annual CTC in words
- Purpose line — "This certificate is issued for the purpose of …"
- Authorised signatory — name, designation (HR/Finance), signature and company seal

- No company seal or signature — the single most common reason banks reject a salary certificate.
- Mismatched figures — the salary on the certificate must match your bank statements and payslips.
- Wrong purpose — a generic certificate is fine, but a purpose-specific line speeds up approval.
- Missing date of joining — lenders use tenure to judge stability; always include it.
- Plain paper — always print on company letterhead.
