When a bank asks for a salary certificate for your home, personal or car loan, you have to get it from your employer, and that starts with a request to HR. This guide gives you three ready-to-send request letters, plus a checklist of what to ask HR to include so the bank accepts it the first time.
If HR asks you to prepare the draft yourself, which is common in smaller companies, use the free salary certificate generator. It has the bank-loan details lenders look for: who the letter is addressed to, permanent status, and the salary account.
What to ask HR to include
A salary certificate for a loan is more specific than a general one. Ask for:
| Item | Why lenders look for it |
|---|---|
| Addressed to the bank and branch | Shows it was issued for this loan |
| Employee ID, designation, department | Identifies you in the employer's records |
| Date of joining | Shows how long you have been employed |
| Permanent / confirmed status | Lenders prefer confirmed employees |
| Monthly salary breakup, gross and net | Used to work out how much you can repay |
| Annual CTC | A cross-check against your declared income |
| Salary credited to (account number) | Matched against your bank statements |
| Purpose ("Home Loan", "Personal Loan") | Some banks reject generic certificates |
| Signature, name, designation, seal | Makes it an official document |

Sample 1: Email to HR (most common)
Subject: Request for salary certificate - Home Loan - [Employee ID]
Hi [HR Name],
I am applying for a home loan with [Bank Name], [Branch]. The bank has
asked for a salary certificate from my employer.
Could you please issue one with the following:
- Addressed to: The Branch Manager, [Bank Name], [Branch]
- My employment status (permanent/confirmed) and date of joining
- Monthly salary breakup (gross and net) and annual CTC
- Salary account: [Bank, account number]
- Purpose: Home Loan
I need it by [date]. A signed copy on letterhead with the company seal
would be ideal.
Thanks,
[Your Name]
[Designation], [Department]
Employee ID: [ID]Sample 2: Formal letter (for companies that want a written request)
To,
The HR Manager,
[Company Name],
[City]
Date: [DD Month YYYY]
Subject: Request for issue of salary certificate for bank loan
Respected Sir/Madam,
I, [Your Name], working as [Designation] in the [Department] department
(Employee ID: [ID]) since [Date of Joining], request you to issue a
salary certificate for my [home/car] loan application with
[Bank Name], [Branch].
Kindly include my monthly salary breakup, annual CTC, employment status
and the account to which my salary is credited, and address it to the
Branch Manager of the above bank.
Thanking you,
Yours sincerely,
[Your Name]Sample 3: Personal loan (short and quick)
Personal loans often move fast, so keep the request short and give a deadline:
Subject: Salary certificate needed for personal loan - by [date]
Hi [HR Name],
[Bank Name] needs a salary certificate for my personal loan. Please
include my salary breakup, CTC, date of joining and salary account, and
address it to [Bank Name], [Branch].
Could I have it by [date]? Happy to share a filled draft if that helps.
Thanks,
[Your Name] ([Employee ID])Get it faster: send HR a ready draft
HR teams issue these every week, and the slow part is typing your details. Make the draft yourself in the salary certificate generator:
- Enter the company and your employee details.
- Enter your salary components. Gross, net and annual CTC are calculated for you.
- Keep Purpose: Bank Loan, then fill in Addressed to, Employment status and Salary credited to.
- Download the PDF and attach it to your email to HR, so they only need to check, print on letterhead, sign and seal.
Salary certificate or salary slips?
They are different documents. Salary slips (payslips) show one month each, and banks often want the last three. A salary certificate is a single letter summarising your employment and pay. If the bank asks for slips instead, you can make them with the payslip and salary slip generator.
Common mistakes
- Generic purpose: "for official use" instead of the loan type.
- Not addressed to the bank, when the lender asked for it to be.
- Net salary only: banks want the breakup.
- Account number missing, so the bank can't match it to your statements.
- Unsigned or unstamped copy.
Get these right, and the certificate usually goes through on the first try.
