Tell callers two things in the first sentence: that it's an automated call, and that it's recorded. It takes five seconds, reduces complaints, and is exactly what enterprise and healthcare buyers ask about first. A clinic evaluating AI receptionists put "how are patients informed about recording?" near the top of its list (see 20 questions clinics ask). Below is ready-to-use wording in English, Hindi and regional languages, where to place it, and what to avoid. This is practical guidance, not legal advice.

The three things to say
- Who is calling: your business name.
- That it's automated: "an automated assistant".
- That it's recorded: "this call is recorded for quality purposes".
Ready-to-use wording
English
Hello, this is the automated assistant from {{company}}. This call is recorded for quality purposes.
Hindi / Hinglish
Namaste, main {{company}} ki taraf se ek automated assistant bol rahi hoon. Yeh call quality ke liye record ki ja rahi hai.
Tamil
Vanakkam, naan {{company}}-in automated assistant. Indha call quality-kaaga record seiyyappadugiradhu.
Telugu
Namaskaram, nenu {{company}} automated assistant ni. Ee call quality kosam record chestunnam.
Kannada
Namaskara, naanu {{company}} automated assistant. Ee call quality gaagi record aagutta ide.
Marathi
Namaskar, mi {{company}} cha automated assistant aahe. Ha call quality sathi record kela jaat aahe.
Bengali
Nomoskar, ami {{company}}-r automated assistant. Ei call ti quality-r jonno record kora hochchhe.
Keep the notice to one sentence, in the caller's language, before the main question.
Where to place it
- Outbound calls: in the opening line, right after the greeting.
- Inbound calls: in the agent's first reply.
- Healthcare: add the emergency path in the same greeting; see AI night receptionist for hospitals.
If the caller objects
No problem. Would you like a callback from our team instead, or the details on WhatsApp?
Record the preference, don't continue the automated call, and honour it next time.
What to avoid
- Hiding the notice at the end or after personal details.
- Long legal text read aloud. Keep it to one sentence; publish the full policy on your website.
- Pretending to be human. If asked "are you a robot?", answer honestly.
- Different notices by language. Keep the same meaning in every language.
Beyond the notice
A recording notice is only part of handling personal data responsibly. Decide how long recordings are kept, who can access them, and how people can ask for deletion. Get written answers from your vendor. See DPDP compliance for voice AI and, for outbound rules, TRAI and DND rules for AI calling.
