Short answer: a small business does not need a department menu. It needs two things — calls answered when everyone is busy, and a message captured when nobody can pick up. That is a two-option menu, billed as a number rental plus the minutes you use.
Copying an enterprise menu structure is the most common small-business IVR mistake. You do not have six departments; you have three people, all of whom do everything.
What the Problem Actually Is
For a small business the phone fails in specific, mundane ways:
- Everyone is with a customer and the phone rings out.
- Calls arrive after hours and there is no way to leave a message.
- The business number is one person's mobile, and it leaves when they do.
- Nobody knows how many calls were missed, so the problem stays invisible.
None of those need departments. They need answering, capturing and measuring.
The Two-Option Menu
For most small businesses this is the whole design:
"Welcome to Sharma Traders. For orders, press 1. For anything else, press 2."
Option 1 rings whoever handles orders. Option 2 takes a voicemail, so nothing is lost when everyone is busy. (Ringing several phones at once, a "ring group", is not available on Edesy yet; forward to one number per option.)
That is it. Resist adding more until your call logs show you need it.
What to Skip
Departments you do not have. A menu offering sales, support, accounts and logistics when all four are the same two people wastes everyone's time and sounds like a company pretending.
Long greetings. Detail on wording is in how to write an IVR script, but the short version is: name yourself and get to the options.
Sub-menus. One level. Always.
Hold music strategy. If your hold time is under a minute, this is not where your attention should go.
What Not to Skip
After-hours handling. This is often the highest-value part for a small business. A caller at 8pm who hears your hours and can leave a message is a caller you keep. One who hears ringing is one who calls a competitor tomorrow. See after-hours call handling. A business number that is not a personal mobile. The number should belong to the business, so it survives staff changes and can ring more than one phone. See virtual phone numbers.
Call logs. The number of calls you currently miss is probably the most useful figure you do not have.

When a Menu Is the Wrong Answer
Be honest about this. If you run a single-location shop where one person always answers and calls are rarely missed, a menu adds a step for your customers and solves nothing. Adding a menu because larger businesses have one is not a reason.
The signal that you need one is missed calls, not size.
