This guide walks through a 10,000-contact campaign from list to results: preparing the file, writing the script, choosing concurrency and retries, handling voicemail, and what it costs.

What kind of campaigns work at this scale?
Bulk AI calling works best when every call has one clear job and a short conversation:
- Payment and EMI reminders, with a payment link sent by SMS or WhatsApp during the call
- COD order confirmation before dispatch
- Surveys and feedback, 3-5 questions with fixed answer options
- Event, admission or renewal reminders, with a "press 1 or say yes to confirm"
- Lead re-engagement, where the agent qualifies interest and hands hot leads to your team
- Civic and awareness calls, such as tax due dates or scheme information
If a conversation needs negotiation or judgement, let the agent qualify and then transfer the call to a person. The outbound dialer page covers that mixed model.
Step 1: Prepare the contact file
Start with a spreadsheet. One row per person, one column per detail the agent should know:

- Phone numbers: 10-digit Indian mobiles are safest. Remove duplicates and obviously invalid numbers.
- Every column becomes a variable. On Edesy, a column called
nameis available in the script as{{name}},amountas{{amount}}, and so on. - Only call people who expect to hear from you: customers, applicants, people who opted in. See TRAI and DND rules for AI calling.
Upload the file as CSV or Excel into a contact list, then attach the list to a campaign.
Step 2: Write one script that uses the variables
A good bulk script is short. Aim for a 30-60 second call:
- Greet and identify: "Namaste {{name}} ji, main XYZ Finance se bol rahi hoon."
- State the reason in one line: "Aapki EMI {{amount}} rupaye {{due_date}} ko due hai."
- Ask for one action: "Kya aap aaj payment kar payenge?"
- Handle two or three common replies, such as already paid, need more time, or wrong number.
- Close and confirm the next step: "Main aapko payment link SMS kar rahi hoon."
Pick the language per campaign. For most North Indian audiences a natural Hindi-English mix works better than formal Hindi. Our Hindi calling scripts post has seven ready-made examples.
Step 3: Decide what the agent should capture
Before launch, decide what you want back from every call, and define it as data fields:
- Outcome: confirmed, not interested, call back later, wrong number
- Promised date for a payment or visit
- Answers to each survey question, as fixed options
- Interest level or lead score

Step 4: Set the calling window, concurrency and retries
These three settings decide how fast the campaign runs and how people experience it.
Calling window. Set daily start and end times with a timezone, for example 10:00-19:00 IST. The campaign pauses outside the window and resumes the next day.
Concurrency. This is how many calls run at the same time. More parallel calls finish faster:

Start low on the first day so you can listen to recordings and fix the script, then raise it.
Retries by outcome. Retry no-answer and busy numbers once or twice, a few hours apart or the next day. Never retry someone who already answered. Edesy lets you pick which outcomes get retried and on what schedule.
Step 5: Handle voicemail and unanswered calls
In India, many unanswered calls end in a network announcement or a voicemail greeting. With voicemail detection on, the agent can hang up immediately, leave a short message, or schedule a callback, instead of talking to a recording.
For people who still do not answer, send a WhatsApp or SMS follow-up with the same information.
Step 6: Launch in two stages
- Pilot 200 contacts. Listen to 20-30 recordings. Check the pronunciation of names and amounts, how the agent handles "already paid", and whether the captured fields are right.
- Run the rest. Once the pilot looks right, raise concurrency and launch the full list.
What does a 10,000-contact campaign cost?
On Edesy, calls are billed per started minute at Rs 4-6 per minute, depending on your prepaid top-up tier, and unanswered calls are not charged.
A worked example, with assumptions you should replace with your own:
- 10,000 contacts, 60% answer across all retries = 6,000 answered calls
- Most reminder calls finish in under a minute = 1 billed minute each
- 6,000 minutes x Rs 4-6 = Rs 24,000-36,000, about Rs 4-6 per answered call

Step 7: Use the results
When the campaign ends you have, for every number: outcome, recording, transcript, summary and your captured fields. Export as CSV, send to Google Sheets, or push to HubSpot, Salesforce, Zoho CRM or GoHighLevel. Then act on the result: call back "interested" contacts, re-run the campaign for "call back later", and remove wrong numbers from your list.
