COD Confirmation: Keypad Call vs WhatsApp Message

Both ask the customer one question: do you still want this cash-on-delivery order? A call asks it out loud and gets a keypress. A WhatsApp message asks it in a chat and waits for a tap or a reply. Here is where each one works better, without the sales pitch.

Keypad confirmation call

An automated call reads out the store name, order number and COD amount in Hindi or English. The customer presses 1 to confirm or 2 to cancel, and the answer is written back to the store.

Best for: Reaching every buyer, including people who don't use WhatsApp, and getting a definite yes or no quickly

WhatsApp confirmation message

A template message with the order details and Confirm / Cancel buttons. The customer answers whenever they open the chat.

Best for: Buyers who live on WhatsApp, low-cost first contact, and sending more detail such as the product, address or a pay-online link

Reach: who actually gets the question

A call reaches anyone with a working phone number, including feature phones and people who don't use WhatsApp or keep it on a different number. A WhatsApp message reaches only numbers registered on WhatsApp, and only helps if the customer opens the chat.

The flip side: many people ignore calls from unknown numbers, especially during work hours, while they will happily tap a button in a chat later. Neither channel reaches everyone.

Cost: what drives it

We are not going to quote you a percentage. The cost of either method comes down to a few numbers you already know or can measure:

  • Call: cost per call attempt (mostly minutes; a confirmation call is short) × attempts per order, including retries for no-answer.
  • WhatsApp: cost per message sent (charged by message category) × messages per order, plus any reminder you send when there is no reply.
  • Both: what an unconfirmed COD order that gets refused at the door costs you (forward shipping, return shipping, packaging and blocked stock).

Example arithmetic (replace with your own numbers):

cost per answered order = (cost per attempt × attempts per order) ÷ share of orders that answer
value per answered order = share of answers that are cancels × your cost per RTO

If the value is higher than the cost for a channel, that channel is paying for itself. Run the numbers for both channels with your real rates and response rates. The COD confirmation call cost calculator and the COD RTO calculator do this arithmetic with inputs you can change.

Write-back: what happens after the answer

An answer only helps if your team sees it before packing. With our confirmation calls, the result is written back to the order: a tag such as COD-CONFIRMED, a note, or a cancellation, depending on your platform. With WhatsApp, check whether your tool updates the order in your store or only shows the reply in an inbox someone has to read.

Using both

Many stores use both channels: a message first, then a call to customers who haven't replied, or the other way round. Our confirmation calls are triggered by your store or your own system, so you can send us only the orders still unconfirmed. An automatic WhatsApp fallback inside our product is not available yet.

Which one should you pick?

Honest guidance, including where WhatsApp wins

If...

Most of your buyers are in tier-2 and tier-3 towns, or many don't use WhatsApp

Then...

Keypad call

A ringing phone reaches people who never see a chat message, and a Hindi call is easy to answer with one key.

If...

Your buyers are mostly metro and WhatsApp-first

Then...

WhatsApp message

They are likely to answer in the chat, and a message usually costs less per contact than a call.

If...

You want to show the product, confirm the address or push a pay-online link

Then...

WhatsApp message

A keypad call can only ask yes or no. A chat can carry images, text and links.

If...

You need the answer before the courier pickup cut-off

Then...

Keypad call

A call gets the answer during the call itself, with retries on your schedule, instead of waiting for the chat to be opened.

If...

You want both reach and low cost

Then...

Use both

Send the message first and call only the orders that are still unconfirmed, or call first and message the unreachable ones.
