COD Confirmation: Automated Keypad Call vs Your Own Calling Team

A calling team can talk, persuade and fix an address. An automated call can only ask yes or no, but it calls every order within minutes, at any volume, and writes the answer back to your store. Most stores end up using both.

Automated keypad call

Every COD order is called automatically in your calling window. The customer presses 1 to confirm or 2 to cancel, and the store is updated without anyone typing.

Best for: The routine yes-or-no question on every order, at any volume, including sale days

In-house calling team

People call customers, confirm the order, and update the order in the admin panel or a sheet.

Best for: Conversations: address fixes, doubts about the product, converting to prepaid, and high-value orders

Where a calling team is better

Be clear about what a keypad call cannot do. It cannot hear "deliver on Saturday instead", correct a landmark, explain sizing, talk a hesitant buyer through the order or offer a prepaid discount on the spot. People can. A team also speaks whatever languages your customers speak, while our calls are in Hindi and English today.

Where an automated call is better

  • Speed: the call goes out a few minutes after the order (your delay setting), not when someone reaches it in the queue.
  • Scale: a festive sale that triples your orders doesn't need triple the callers.
  • Consistency: every customer hears the same script, with the right order number and amount.
  • Record keeping: every outcome is written back to the order and shown on the order timeline, so nothing depends on someone remembering to update a sheet.
  • Nights and weekends: orders placed overnight are queued and called when your calling window opens.

Cost: what drives it

We are not going to quote you a percentage. Compare with your own numbers:

  • Team: monthly cost of each caller (salary, seat, phone and calling plan, supervision) ÷ orders each caller can confirm in a month. Add overtime or temporary staff for sale periods.
  • Automated call: cost per call attempt × attempts per order, including retries.

Example arithmetic (replace with your own numbers):

team cost per order = total monthly team cost ÷ orders confirmed per month
call cost per order = cost per attempt × average attempts per order

The COD confirmation call cost calculator does this with rate inputs you can change, and the COD RTO calculator shows what refused deliveries cost you today.

The common setup: both

Let the automated call handle the routine yes or no on every order. Your team then works only on the exceptions: orders flagged COD-UNREACHABLE after retries, high-value orders, and customers who need a conversation. The same people handle more orders, and spend their time where a human actually helps.

If you need the conversation itself automated (address checks, prepaid nudges), that is a custom AI voice agent rather than a keypad call; see our AI COD verification service.

Which one should you pick?

Honest guidance, including where people win

If...

Your team can't keep up with order volume, or falls behind on sale days

Then...

Automated call

Every order is called within your calling window regardless of volume, and only the exceptions reach your team.

If...

Many orders need an address fix or a conversation

Then...

Calling team

A keypad call only asks yes or no. People can resolve problems on the call.

If...

Your customers speak languages other than Hindi and English

Then...

Calling team (or both)

Our calls are in Hindi and English today. Use the call where those work and route the rest to your team.

If...

Order values are high and each RTO is expensive

Then...

Both

Automate the first confirmation, and have a person call high-value or unreachable orders before shipping.

If...

You get a handful of COD orders a day

Then...

Calling team

At very low volume, someone already on staff can confirm orders between other work. Automate when volume grows.
